Tip Account¶
The tip account keeps a ledger for each employee: how much tip has come in today, how much of it in cash and how much via the card terminal, and how much has not yet been paid out. The payout is acknowledged at the POS, and there is a monthly file for payroll accounting.
Where to find it:
- Daily view and payout: POS → End-of-day report → tab "Tips"
- Monthly file for payroll accounting: Admin → Staff → tab "Tips"
What Is Counted — and What Is Not¶
Only explicitly recorded tips go into the tip account:
| Source | Counted? |
|---|---|
| Tip entry in the POS payment dialog | Yes |
| Tip the guest gives at the card terminal | Yes |
| Difference between "given" and invoice amount (change) | No |
ℹ️ Why change is not counted: Anyone who hands over €20 for a €12 invoice usually wants €8 back. DiKAS therefore never books this difference automatically as a tip. If the guest really waives the change, enter the amount as a tip in the payment dialog — then it also appears on the account.
Cash and card are kept separately. If a receipt is voided, the tip account follows automatically.
Employee or Business-Owner Tips¶
When checking out, the "Tip recipient" setting decides who owns the tip. This decision is recorded on the receipt and shown in the account:
| Type | Meaning | Payable? |
|---|---|---|
| Employee tip | Belongs to the server, tax-free in Germany (§ 3 No. 51 EStG) | Yes |
| Business-owner tip | Belongs to the business and is taxable income | No — it is already included in revenue |
If the setting is changed in the middle of the day, the same person carries both. The employee share is then paid out; the business-owner share stays.
ℹ️ The tax treatment of tips depends on the individual case. Clarify the classification with your tax advisor.
The "Tips" Tab in the End-of-Day Report¶
For the current business day, the tab shows per person:
- Earned — total recorded tips, split into cash and card
- Paid out — what has already left the register today
- Outstanding — what is still pending
In addition, the view shows unpaid tips from earlier days: one row per day and person with name, day and outstanding amount. The end-of-day report otherwise shows only a single business day; without this list a forgotten amount would remain invisible. The look-back reaches 90 days. These rows also have a "Pay out" button — see Paying out tips from earlier days.
⚠️ Two tip figures in the end-of-day report: The register settlement tile counts a surplus in the drawer as tip. The "Tips" tab shows exclusively the tips recorded per person. The two figures do not have to match, and usually they don't.
Paying Out Tips¶
- In the "Tips" tab, tap "Pay out" in the employee's row
- The payout dialog opens and shows the outstanding, payable amount — the full payable amount of the day is always paid out
- The recipient acknowledges: with their own PIN or by presenting the staff card
- DiKAS books the payout as a cash book expense "Tip payout"
Paying Out Tips from Earlier Days¶
If a tip was not paid out on an earlier day — even if that day is already closed — it appears under the tab in the list of earlier days:
- In the row with name and day, tap "Pay out"
- The dialog shows the person, day and amount
- The person acknowledges as usual with PIN or staff card
If the day is already closed, DiKAS books the expense to today — the money leaves the drawer now and belongs in today's cash count. The booking text names the day the tip came from.
What is safeguarded:
- Per person and day, the amount can be paid out only once — a second attempt is rejected, even if two requests arrive at the same time.
- Wrong PIN entries are throttled: after five failed attempts, acknowledgment is locked for five minutes.
- The expense is attributed to the recipient. If the boss pays out Anna's tip in the evening, the amount falls into Anna's register settlement — otherwise her cash count would show a shortfall.
- Business-owner tips cannot be paid out; the button stays locked with an explanation.
⚠️ Void after the payout: If a receipt is voided whose tip had already been paid out, the transaction does not disappear. It remains visible as an overpayment — in the tab with a warning and in the monthly file as a separate row. You have to recover the amount yourself.
Monthly File for Payroll Accounting¶
Where to find it: Admin → Staff → tab "Tips"
How to proceed:
- Open Staff in the administration and select the tab "Tips" at the top
- Select month and year — the last closed month is preselected, i.e. exactly the one due for payroll
- The figures appear immediately as a table on screen — with a total row
- Tap "Download monthly file" if you want to hand it to the payroll office
ℹ️ You no longer have to download anything just to take a look. The table shows the same columns as the file — staff number, name, label, cash, card, total, paid out and outstanding — and is generated from the same calculation. What you see on screen is also in the file. If no tips were recorded in that month, the screen says so instead of showing an empty table.
The file is generated and saved immediately; below it, it states which month it applies to and how many rows it contains. If no tips were recorded in that month, DiKAS says so explicitly and does not save an empty file. If something goes wrong, the reason is shown in plain text at the same place.
The tab appears only if you belong to the administration. Anyone who may close the day at the POS sees and pays out the day's tips — the monthly file with the figures of the whole team remains reserved for the administration.
For each person, the file contains one row per label, with staff number, name and month as well as the amounts cash, card, total, paid out and outstanding. The labels mean:
| Label | Meaning |
|---|---|
| AN steuerfrei (employee, tax-free) | Employee tip |
| AG steuerpflichtig (employer, taxable) | Business-owner tip |
| storniert nach Auszahlung (voided after payout) | Paid out, receipt voided later |
The file format matches that of the other payroll exports (semicolon as separator, Windows character set) and can be read directly into Excel or by the payroll office.
ℹ️ If someone has both employee and business-owner tips for the same month, the person appears with two rows in the file — the two amounts must never end up in one sum.

Limits¶
- No tip pool (tronc). Each receipt is assigned to the person who checked out. Distribution to a team by a key — kitchen, counter, temporary staff — does not exist; anyone who settles this way distributes outside the system.
- Self-service has no recipient. Tips from QR table payment, online shop or the Disco guest checkout are not assigned to any person and therefore do not appear in the tip account.
- Collective settlement in the Disco module. If all cards are settled in one go at the end of the evening, the tip counts for the person settling, not for the server of the evening.
Frequently Asked Questions¶
Why does the tab show a different amount than the register tile? The tile counts a drawer surplus as tip, the tab only explicitly recorded tips. See above.
The payout is locked although there is a tip. Then it is a business-owner tip or the payable amount has already been paid out. The dialog states the reason.
Can someone have someone else's tip paid out? The cashier may trigger it, but the recipient must acknowledge — with their own PIN or their own card.
